When a buyer's Etsy order does not appear in your print-on-demand dashboard, the first instinct is often to reconnect the store or submit a manual order. Slow down for a few minutes. The missing order may still be under Etsy payment review, waiting for the provider's next sync, sitting in an unsynced-order queue, or disconnected from the product variant you thought you published.
The safest workflow is to identify where the order stopped, fix that handoff, and avoid creating a second fulfillment record. The exact menu names change, but the checks below work for the common Etsy workflows in Printify, Printful, and Gelato as of August 2026.

Choose a provider with a recoverable order path.
Integration problems are easier to manage when the provider exposes a clear queue, connection status, and manual fallback. Compare the real product catalog, sample, order controls, and support before you build a store around any one route.
First decide whether Etsy has actually cleared the order
Open the order in Etsy Shop Manager and look at its payment state before you touch the provider. If Etsy shows payment processing or Not Paid, do not ship the order or pay a provider to fulfill it. Etsy says it reviews Etsy Payments transactions, most finish within 72 hours, and the seller should wait for the processing confirmation before taking action. If the payment fails, the sale may not complete at all.
Once Etsy shows the order as paid or completed, record the Etsy order number, buyer country, product, color, size, personalization, and promised delivery window. That small record gives you something concrete to search for in the provider dashboard and support conversation.
Run the same sync triage in this order
| Check | What to look for | Next move |
|---|---|---|
| 1. Payment | Etsy says Paid or Completed, not Payment processing or Not Paid. | Wait for Etsy to clear it before fulfillment. |
| 2. Store connection | The correct Etsy shop is active in the provider, not an old or similarly named store. | Refresh or reconnect using the provider's current instructions. |
| 3. Sync timing | The order is still inside the provider's normal import window. | Wait, then use Refresh, Sync orders, or Refresh data. |
| 4. Product mapping | The exact listing and variant are connected, including color, size, and personalization. | Map the product or enable the provider's unsynced-order setting. |
| 5. Hidden queue | The order is in Other orders, an audit log, a review queue, or a draft area. | Import or review it there instead of creating a second order. |
| 6. Address | Names, postal code, country, phone, email, and shipping address are complete and valid. | Correct the source order or provider fields, then retry the import. |
Do not skip directly to reconnecting. A connection reset can create a new mapping problem if you do not know whether the original order is already waiting in the provider. Search the provider's orders and unsynced queues by Etsy order number first.
Provider-specific fixes
Printify: check Other orders before recreating the product
Printify says an order can land in Other orders when it has no linked Printify product or when an edited sales-channel listing changes an identifier the system no longer recognizes. Personalized products, bundles, and older Etsy listings that were edited directly are common situations to investigate.
Open Orders > Other orders, select the missing order, and match the exact product, color, size, and personalization to an existing Printify product or create the correct one. Upload or confirm the design, choose Import order, and then select Submit order to send it to production. If you want the same variant to map automatically next time, use the provider's option to keep that variant linked.
Check required fields before importing. Printify lists incomplete names, address fields, postal codes, email, phone data, and some non-Latin address or phone formats as possible import blockers. If the import still fails, use its browser troubleshooting steps and contact support with the Etsy order number and screenshots. An order imported from Printify's Other orders tab for Etsy is treated differently for sales tax inside Printify because Etsy already charged marketplace tax, so do not assume a manual order and an imported Etsy order will have the same checkout treatment.
After the order appears in Printify, check the store's order-approval setting. Manual approval means the order can remain in Printify without going to production until you submit it; automatic approval can send it after the selected delay. Imported is not the same as submitted.
Printful: refresh the store and look for unsynced orders
Printful's current order-import guidance says Etsy orders need to be paid and at least one product normally needs to be synced. Orders with unsynced products can appear in Other orders when the import setting is enabled. It also says Etsy sync frequency can depend on store activity, so a quiet shop may need a manual refresh rather than an instant import.
Open the connected Etsy store in Printful, use its current Refresh data control, and then check both the normal Orders area and Other orders. If you changed your Etsy password or the connection has expired, reconnect the correct shop. Recheck the exact product and variant mapping after any listing edits. If you still cannot find the order, contact Printful with the store name, Etsy order number, screenshot, and the steps you already tried.
Do not treat the presence of a product in the Etsy shop as proof that it is synced in Printful. The listing can remain visible to buyers while the provider no longer recognizes the product or a specific variant.
Gelato: use Audit Logs and manual Sync orders
Gelato's current order-import guidance gives you two useful places to look: Developer > Audit Logs for the reason an order was not imported, and the Orders menu for a manual sync. Gelato says Etsy orders sync every three hours, so a new paid order may be normal before that window closes.
Check that the store is active, the product and every ordered variant are connected, the order is fully paid, and the shipping address is present. Avoid marking an Etsy order completed or changing its variant options after purchase while you are waiting for the integration; Gelato warns that those changes can stop the order from being fetched. In Gelato, open Orders, select the three-dot menu beside New order, and choose Sync orders.
If the order is urgent and still absent after those checks, Gelato recommends recreating it manually. Keep the Etsy order number in the manual-order note and watch for a late integration record so you do not fulfill the same sale twice.
When is a manual order the right move?
A manual order is a fallback for a paid, time-sensitive sale that the integration cannot recover quickly enough. It is not the first diagnostic step. Use this five-minute duplicate check before you place one:
- Search by the Etsy order number: check the provider's normal Orders area, Other orders, drafts, review queue, and audit log.
- Confirm Etsy payment: make sure the order is not still processing or Not Paid.
- Refresh once: use the provider's manual sync or refresh control and allow a reasonable provider window.
- Record the handoff: save the Etsy order number, exact variant, personalization, address, and time you decided to go manual.
- Watch for a late sync: after placing the manual order, check the integration again before production. If a duplicate appears, hold or cancel the duplicate according to the provider's current controls.
When you create the manual order, copy the buyer-facing details carefully and keep the provider order number beside the Etsy order number. You may also need to add tracking to Etsy yourself if the manual order does not report shipment automatically. Follow the provider's and Etsy's current instructions for that handoff; do not promise a delivery date based only on the manual-order button.
Prevent the next missed order
After you resolve the order, fix the process that allowed the gap:
- Test the exact route: place one controlled test order or use the provider's test workflow before publishing a large batch of listings.
- Keep product mappings visible: confirm every active Etsy variant is connected in the provider, especially after changing titles, descriptions, options, or personalization.
- Choose approval rules deliberately: know whether imported orders are manual, delayed, or automatic, and check the queue after each real sale until the workflow is stable.
- Keep a five-minute order audit: compare Etsy Paid orders with provider Orders and Other orders once or twice daily during launch or seasonal peaks.
- Save the support packet: keep the Etsy order number, store name, screenshots, timestamps, product ID, and troubleshooting steps in one note.
This is also why sampling and a small launch matter. A provider can look easy in a comparison table, but the useful test is whether the exact product, variant, personalization, payment, order import, production approval, tracking, and buyer message all survive one real workflow.
Print on Demand Secrets recommendation
Treat a missing Etsy POD order as a handoff audit: Etsy payment first, provider timing second, store connection third, mapping and hidden queues fourth, manual fulfillment last. The goal is not to force every order through automation. The goal is to know exactly where the order is and avoid paying twice.
When you choose the provider behind an Etsy listing, Printify* is worth checking when you want broad supplier choice and an Other orders recovery path, Printful* when a more centralized workflow and unsynced-order controls suit you, and Gelato* when its connected-store and destination workflow fit your catalog. These are workflow fits, not guarantees that an integration will never fail.
Pick the route you can monitor calmly. A provider dashboard you understand is more valuable than a theoretical one-click setup you never audit.
Etsy POD order-sync FAQ
How long should an Etsy POD order take to appear in my provider dashboard?
There is no single provider-wide window. Etsy may hold a payment for review for up to 72 hours, while provider sync timing varies. Gelato currently says Etsy orders sync every three hours, and Printful says sync frequency can depend on store activity. Check payment status first, then use the provider's refresh or sync control.
Should I place a manual order when an Etsy order is missing?
Only after confirming that Etsy shows the order as paid, checking normal and unsynced-order queues, refreshing the store connection, and searching by the Etsy order number. A manual order can be the right urgent fallback, but a late integration sync can create a duplicate.
What if my Etsy order is in Printify's Other orders tab?
Match the exact product, color, size, and personalization to a Printify product, upload or confirm the design, import the order, and then submit it to production according to your order-approval settings. Check the address and required fields before importing.
Why can an Etsy POD order be paid but still not appear in the provider?
Common causes include delayed sync, an inactive store connection, a product or variant that is no longer mapped, an edited listing that changed an identifier, a missing address, or an order status the provider cannot import. Work through those checks before recreating the order.
